Sales Coordinator

Compensation: $20.00 to $25.00 per hour

ABOUT THE JOB

Graves Hospitality is excited to present an exciting career opportunity for a Sales Coordinator at the Moxy Oakland Uptown! This sales contributor will be responsible for reviewing, coordinating, and executing all group and meeting related functions; and facilitating communication between the client, the hotel, and the staff throughout the pre-planning, execution, and post-meeting phases.

WHAT YOU WILL DO

  • Fulfill the hotel's #gotmoxy hospitality operating principle by planning or supporting sales activities, promotions and client events that bring to life the uniqueness of the hotel and celebration of the Moxy culture
  • Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests.
  • Responsible for coordinating internally with the sales & operations team.
  • Generating reports, preparing proposals, collecting payment and coordinating with clients and suppliers.
  • Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, group resumes and banquet event orders (BEOs).
  • Print materials and assemble information packages (e.g., brochures, promotional materials, sales flyers, giveaways etc.).
  • Research and compile a prospecting list of companies and contacts from Fosse for solicitations.
  • Assist in business development efforts as instructed by the Regional Director of Sales.
  • Build group blocks and maintain reservations in Fosse.
  • Manage and maintain manager’s schedules, appointments, and travel arrangements.
  • Assist sales team by maintaining group files, filing important documents, and ensuring deposits are collected per contract due dates.
  • Arrange and coordinate meetings, events, and site inspections.
  • Attend and execute each meeting and event while working closely with the operations staff to ensure a successful operation with high client satisfaction.
  • Set-up event area and/or board room prior to the event, ensuring cleanliness and proper set up of furniture and equipment.
  • Inspect and maintain meeting and event set-ups for cleanliness, neatness and in agreement with group requirements.
  • Interaction with client in regard to leads and hotel needs.
  • Meets with clients in the absence of the Regional Director of Sales or Sales Manager to convey details of the sale effectively and professionally to the client.
  • Perform hotel site tours with potential clients in the absence of Regional Director of Sales or Sales Manager
  • Upload, extract and maintain customer databases in Delphi/Amadeus or Fosse.
  • Create and manage company and business travel profiles in Delphi/Amadeus.
  • Maintain manager activities in Delphi/Amadeus.
  • Handle Rooming list and reservation links for groups and corporate accounts.
  • Issue Planner Bonvoy Points for Regional Director of Sales approval once group or event has departed and balance has been collected.
  • Ensures all documents produced by the sales department (i.e. contracts, rooming list, group resumes, proposals, banquet event orders) are completed accurately and on time.
  • Respond to complaints from customers and give after-sales support when requested.
  • Responsible for knowing hotel emergency procedures.
  • Responsible for the proper administration of issued keys.
  • Other duties as assigned by Regional Director of Sales or General Manager.

WHAT YOU WILL NEED

  • Able to use advanced computer systems: Microsoft Office Suite, One Source, Fosse, MRDW, CVENT and Delphi/Amadeus experience strongly preferred.
  • Previous hotel sales, hotel event, or hotel operations experience in a boutique hotel, select service hotel, or similar operation strongly preferred.
  • Speak with others using clear and professional language.
  • Working knowledge of standard office administrative practices and procedures.
  • Excellent customer service skills.
  • Able to effectively communicate in English, in both written and oral forms.
  • Carry out all reasonable requests by leadership team.
  • Comply with department uniform and appearance standards.
  • Stand, sit, or walk for an extended period of time or for an entire work shift
  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 40 pounds without assistance and objects weighing in excess of 75 pounds with assistance
  • Ability to provide own transportation for various tasks, including client visits and running sales related errands
  • Valid driver's license and a clean DMV record
  • In addition to performance of the essential functions, this position may be required to perform a combination of supportive functions, determined by the GM & RDOS.
  • The hotel operates 7 days a week, 24 hours a day. Schedules must accommodate fluctuating business demands and associates may be asked to work shifts other than those they prefer or normally work.
